When staff need to leave the premises, a simple form submission kicks off an automated approval chain between HR and security, turning a slow manual process into a fast and transparent digital workflow.
This project modernizes internal staff movement by replacing physical logbooks with a seamless, cloud-based pipeline. Utilizing the Microsoft ecosystem, it connects employees, human resources, and security personnel in real time to ensure accountability and accurate time tracking for every facility exit and entry.
Managing gate pass requests manually creates messy paper trails, delayed approvals, and missing records. Security personnel and staff often deal with bottlenecks when verifying who is authorized to leave the premises, causing operational friction and security gaps.
A fully digital access control workflow built entirely with Power Automate, Microsoft Forms, and Sheets. Staff initiate the process by submitting an exit request form, which instantly sends an automated approval email to HR. Once HR approves the request, security receives an immediate notification authorizing the departure. As the staff member leaves and returns, security logs the exact timestamps directly into the system, creating a constantly updated and reliable digital ledger.
